Date Filters

Viewing a roster can be done using a day, week or fortnight format – this provides the user with the flexibility to allocate and/or view shifts from different perspectives and personal preference.

Whether you are in day, week or fortnightly view, if you want to look at today’s shifts, you can simply click on “Today” located on the top left side, as follows:

 

Week View

Viewing shifts in week view is a great way to get a snapshot of what the work week is going to look like for a specific employee, location and your business.

When you first navigate to the Rostering page, the weekly view will appear by default. If you are in a different view and want to change back to weekly, click on the “Week” button in the top right corner of the page. You can then navigate to a specific week by clicking on the “<” or “>” button.

 

Fortnight View

Viewing shifts in fortnight view is beneficial if you run a fortnightly pay period and want to analyse shift costs and employee allocations accordingly.

To view shifts in fortnight view, click on the “Fortnight” button in the top right corner of the page. You can then navigate to a specific fortnight by clicking on the “<” or “>” button.

 

Day View

Day view is a great way to see detail in the coverage of shifts for employees and locations for a given day.

Click on the “Day” button located in the top right corner to see shifts on a daily basis. You can then navigate to a specific day by clicking on the “<” or “>” button.

 

Next, click on the actual day you want to view. For example, using the above image, to view Friday click on “Fri 21” and the following view will appear:

Adjusting start and end times in day view

You can quickly adjust the start or end of an unpublished shift in day view by clicking and dragging the start or end of a shift. As soon as you drag the shift to its new start or end time, the new start or end time for that shift will be automatically updated.

 

Calendar Shortcuts

In the roster screen, you will notice a calendar in the left corner:

You can use the calendar to easily navigate to a date in the future or the past whether you are in day, week or fortnight view.

When you go to the rostering screen, the calendar view will always default to the current month. From there, you can quickly go back or forward month by month to create and/or view shifts by clicking on “<” or “>” located next to the month (refer to above image).

 

Filtering Shifts

The employee roster allows you to customise the view with a few handy filter features.

 

  1. You can filter your view of the shifts based on:
  • Location
  • Shift status
  • Employee

Simply click in the fields and select the available options.

 

 

 

 

 

 

 

  1. You can also group and sort shifts based on:
  • Group by Location or Business. The ‘Location’ setting will separate shifts based on individual locations within the business. The ‘Business’ setting will show all shifts under the main ‘Parent’ location.
  • Sort by Employee (alphabetical), Role (alphabetical based on role name), or Start Time

Simply choose the desired option from the drop-down box.

  1. Lastly, you can select to show/not show:
  • Employees with no shifts
  • Sublocations
  • Costs

Simply click on the toggle button to turn this feature on/off.

 

Creating new filters

In addition, you can also save filters for later so that you can quickly switch between different views of shifts within your business. You can create a new filter for shifts by following these steps:

In the employee roster screen, on the left-hand side, click on “Manage Filters”

From here a dialog box will pop up. Select “New Filter” from the drop-down box:

 

You can give the filter a name and define it using the following criteria:

  • Grouping by Locations or Business (including the option to include sub locations and ability to select certain locations)
  • Sorting by Employee, Role, or Start Time
  • Hide employees with no shifts
  • Shift Status
  • Employees
  • Roles

This screen also allows you to set the filter as your default.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Click the “Save Filter” button on the bottom to complete.

 

Your filter will now be saved and show up in the list of filters available. Clicking on a filter in the list will automatically apply that filter to the employee roster.
